AccordPro (“ACP,” “we,” “our,” “us”)
These Terms & Conditions govern the use of ACP’s services, website, and related platforms. By engaging our services or accessing our website, you agree to these terms.
1. Scope of Services
ACP provides professional services including:

Revenue cycle management

Credentialing and provider enrollment

Bookkeeping, payroll, and financial administration

Accounts receivable and payable support
-
Data entry, insurance verification, and related back-office functions
Service details, deliverables, and timelines are defined in individual service agreements or proposals.
2. Client Responsibilities
Clients agree to:

Provide accurate, complete, and timely data required for service delivery

Maintain responsibility for clinical decisions, medical records, and patient care

Ensure all documents submitted for billing or credentialing are truthful and compliant
-
Notify ACP of changes in provider status, licensure, employment, or payer contracts
-
Maintain access to required systems (EHR, clearinghouse, portals)
-
Comply with all federal, state, and payer regulations applicable to their practice
ACP is not responsible for errors caused by incomplete, delayed, or inaccurate information provided by the client.
3. Fees & Payment Terms

Fees are outlined in the executed service agreement.

Invoices are due upon receipt unless otherwise stated.

Late payments may incur interest charges or service suspension.
-
Setup fees, credentialing fees, payer charges, and third-party software fees are non-refundable.

ACP may suspend services for accounts overdue beyond the agreed timeline.
4. Confidentiality & Data Protection
ACP maintains strict confidentiality of all client information.

Business and operational data are protected under contractual confidentiality obligations.

For healthcare clients, ACP operates as a HIPAA Business Associate and complies with HIPAA regulations.

ACP will not disclose client information to unauthorized parties except when legally required.
Clients are responsible for securing access to systems they control (EHRs, financial systems, etc.).
5. Compliance
ACP follows applicable regulations including:

HIPAA (when PHI is handled)
-
Federal and state billing regulations
-
Payer-specific rules and documentation standards
Clients retain full responsibility for clinical documentation, coding accuracy related to medical necessity, and legal compliance of their practice.
6. Limitations of Liability
To the fullest extent permitted by law:

ACP is not liable for indirect, incidental, or consequential damages.

ACP’s total liability is limited to the fees paid by the client in the three (3) months preceding the claim.

ACP is not responsible for payer decisions, delays, reimbursement outcomes, or denials resulting from regulatory or payer policy factors outside our control.
7. No Guarantee of Reimbursement
ACP does not guarantee:

Claim approval
-
Payment timelines
-
Credentialing acceptance
-
Reimbursement amounts
Payers retain exclusive authority over claim adjudication and enrollment decisions.
8. Use of Website & Content
All content on www.accordpros.com—including text, images, templates, and materials—is the property of ACP.
You may not:

Copy, reproduce, modify, or distribute website content

Use materials for commercial purposes without written consent

Reverse engineer or misuse features or data tools on the website
9. Termination
Either party may terminate services:

With written notice per the service agreement terms
-
Immediately if the other party violates contractual obligations or applicable laws
Upon termination, all outstanding fees become due. ACP will return client data upon request.
10. Third-Party Software & Integrations
Some services may require the use of:

Clearinghouses
-
EHR systems
-
Financial software (e.g., QuickBooks)

Credentialing or payer portals
ACP is not responsible for outages, errors, or limitations of third-party platforms.
11. Changes to Terms
We may update these Terms & Conditions as needed. Updates will be posted with a revised effective date. Continued use of services indicates acceptance of updated terms.
12. Governing Law
These Terms are governed by the laws of the State of Washington, unless otherwise specified in a service agreement.
